Syncrofy 101: Setting up a Syncrofy Notification

That’s why our “Syncrofy 101” series of posts will highlight a specific task in Syncrofy and illustrate how easy it is to carry out. In this post, we’ll examine how to work with Syncrofy notifications, when to use them, and how to get the most out of them.
As we’ve discussed in previous posts, the biggest difference between Syncrofy and other EDI software is that you can choose to view the data that is most important to you and your job-related duties. You can customize your dashboard and reports in Syncrofy to see only the information that directly affects what you do on a daily basis.
So what if I told you that you can do the same with notifications?
Notifications allow you to receive alerts on the business processes that are most important to you. For example, you can set up a notification to be alerted if a purchase order from a specific company is processed or choose to be alerted if a dashboard has been shared with you.
You’ll receive notifications, both in-app and via email, allowing you to identify and correct errors before they become costly mistakes.
To set up a notification:
- Go to the “Notifications” screen via “Settings”
- Click the “Add Custom Notification” button.
- In the drop down menu, select the document event you wish to monitor (you can even add filters to get specific about the information you want to see).
- Select the “Add Filter” link to choose a filter.
- Click the “Confirm” button to save.
Let’s say you’re expecting a time-sensitive, inbound EDI document like a Purchase Order Change (860) and you’d like to receive a notification when it’s processed. First, you would choose to be notified when a “Purchase Order Change Processed.” Then, you would select “Add Filter” to customize the alert. In this case, we would select “Flow Direction: Inbound,” and “Business Partner: Company ABC.”
There’s no limit on the amount of filters you can add, allowing you to get as precise as you want about the data you want to view.
But what if you want to set up an alert to ensure you don’t get hit with a costly fine or chargeback? That’s easy too!
Let’s say you have an outbound advance ship notice (ASN) that has yet to be sent. In some cases, you would be hit with a fee if your trading partner does not receive it within 24 hours.
However, with Syncrofy, it’s easy to set up an SLA exception to help you be proactive when it comes to these types of situations. You can configure the system to alert the appropriate user when an ASN has not been sent to a specific trading partner within 24 hours.
On the “Notifications” screen, simply scroll down to “Exception Notifications” and select the SLA and Value rules you would like to be notified on. In just a few clicks of your mouse, you can set up Syncrofy to find that needle in a haystack and save your company money in the process!
It’s not only document events and processes that you’ll stay updated on. You’ll also have full visibility into system notifications and events specific to you in Syncrofy, including:
- When a dashboard is shared with you
- When a document you commented on is updated
- When an exception is assigned to you
- When a new user is created
- When a report or report template is shared with you
- When a document has an unidentified partner
No matter what your title is, you can customize notifications to ensure you never miss a beat when it comes to crushing your job duties, making certain you catch the small stuff before it becomes a major headache.
